For your mail server you rent a server, Mailcow Mailserver itself costs nothing extra. Suitable packages at Hostleaf cost between €6.90 and €69.90 per month, 5 packages meet the requirements.

For a few mailboxes the smallest suitable package is enough. With the virus scanner switched on, Mailcow Mailserver needs at least 6 GB of memory, and if you plan many mailboxes with large attachments, take more disk space.

What is your own mail server?

Your own mail server receives, stores and sends the email of your domains on a server you manage yourself. You create mailboxes, aliases and forwards without a fixed limit per package, and the data stays on your server instead of with a large email provider.

At Hostleaf you use Mailcow Mailserver for this, an open source solution built from Postfix, Dovecot, the Rspamd spam filter and the SOGo web interface for webmail, calendar and contacts.

How do I set up the mail server?

  1. Order a suitable VPS or root server.
  2. In the customer area, choose Mailcow Mailserver under Apps and enter the hostname, for example mail.your-domain.com. Before it starts, the installer checks that memory and disk space are sufficient.
  3. Point the hostname's A record to the server IP. If the domain is registered with us, one click in the install dialog does it.
  4. After the installation, add the domain in the Mailcow Mailserver admin interface and create mailboxes.
  5. In the domain's DNS editor, choose "EasyDNS - link a service" with the mail server template. It sets MX, SPF, DKIM, DMARC and the records for mail clients.

The installation runs in the background and takes a few minutes depending on the server, you can follow the progress in the panel.

What does the mail server need?

The installer checks memory and disk space before it starts. If the server is not enough, it tells you what is missing instead of leaving a half-finished installation behind.

Do I need my own domain?

Yes. The mail server needs a hostname such as mail.your-domain.com, and your email addresses run on a domain you manage yourself. You can order a domain with us right away.

If the domain is registered with Hostleaf, you set the required DNS records with one click instead of entering them by hand.

Which DNS records does a mail server need?

For email to arrive and not end up as spam, your domain needs these records:

If the domain is registered with us, "EasyDNS - link a service" with the mail server template sets all of these records and reads the DKIM key straight from the mail server. Add the domain in Mailcow Mailserver first, the key only exists after that.

What is reverse DNS and who sets it?

Reverse DNS, also called a PTR record, links your server's IP address to the mail server hostname. Many recipients check it and are more likely to reject email from servers without a matching PTR.

After the installation we switch the reverse DNS of your server IP to the mail server hostname automatically. If you set your own record before, it stays as it is. You can change the reverse DNS yourself in the panel at any time.

How do I check that my mail server is set up correctly?

In your server's app view, the "Mail-DNS prüfen" action (check mail DNS) shows for every domain in the mail server whether MX, SPF, DKIM and DMARC are correct and whether the reverse DNS points to the mail server.

How many mailboxes and domains are possible?

Mailcow Mailserver sets no fixed limit: you create as many domains, mailboxes and aliases as you need. The limit is your server's memory and disk space. If you need more, you switch to a larger package and the difference is charged pro rata.

Can I read email in the browser and on my phone?

Yes. In the SOGo web interface you read and write email in the browser, calendar and contacts included. On your phone and in mail clients you connect via IMAP and SMTP, and most clients find the settings themselves thanks to autoconfig.

How does the mail server protect against spam and viruses?

The Rspamd spam filter checks incoming email and moves suspicious messages to the spam folder. You add the ClamAV virus scanner during installation if your server has enough memory. Webmail and mail clients connect encrypted with a Let's Encrypt certificate that Mailcow Mailserver renews itself.

Who takes care of updates?

You manage the mail server yourself. You start Mailcow Mailserver updates in the panel with the "Aktualisieren" (update) action, no command line needed. Backups of your mailboxes are up to you as well.

Mail server or web hosting: which suits me?

If you only need a few mailboxes next to your website, web hosting is the easier way: mailboxes, webmail and spam filter are already included, and we take care of the server.

Your own mail server pays off if you manage many mailboxes or domains, want full control over settings and data, or use the server for other services too.
